How an Argentine SME automated three critical processes with AI in record time

Introduction
When an Argentine SME in the services sector decided to make the leap toward digital transformation, it did not do so with a multi-year megaproject or months of consulting. It did so pragmatically, prioritizing the points of greatest operational friction and betting on concrete AI solutions with immediate impact.

The challenge
Like many companies its size, this client carried an operational burden that grew as the business grew: invoices manually entered into the accounting system, vacation calculations that depended on Excel spreadsheets updated by HR, and contracts that each department generated on its own while searching for the correct template in some shared folder.

Implemented solutions
1. Invoice loading automation with LLM
The first project addressed one of the most concrete pain points: the manual entry of invoices and delivery notes into the accounting system. The team spent hours processing documents, with the constant risk of typos and accounting delays.
We implemented an intelligent document reading and extraction system using LLM, integrated directly with the client's accounting system APIs. Unlike traditional OCR, the LLM does not just detect characters: it understands the document, interprets its structure, and extracts the correct data even when formats vary from supplier to supplier. The process is simple: documents are uploaded individually with prior review, or in batches through a Dropbox folder. The system extracts the data, validates it, and enters it automatically. The team only intervenes when there is something to confirm.
Result: virtually complete elimination of manual invoice entry, error reduction, and processing speed that was previously impossible.
2. Automatic vacation calculation
The second project solved a classic HR problem: determining how many vacation days each employee is entitled to based on seniority and the company's internal policies—something that in Argentina has a specific legal logic and can become complex to keep updated.
We developed a system that centralizes that logic and applies it automatically. Built on a modern and flexible architecture, it allows business rules to be updated without touching the code, and generates reliable information for the entire HR team in real time.
Result: zero hours spent manually calculating vacations, always-updated and accessible information, and a significant reduction in internal HR inquiries.
3. Automatic contract and document generation from Slack
The third project was the one that most impacted employees' perception of change. Previously, generating a contract or other document requiring a signature meant searching for the correct template, filling it in by hand, verifying it was the latest version, and coordinating with other departments. A slow, inconsistent, and error-prone process.
The solution: a 100% automated flow from Slack. An authorized team member selects the type of document needed, completes the data in the chat, and within minutes receives the document ready, generated from centralized and approved templates, exported as PDF.
The solution was built on n8n for flow orchestration, with Slack API integration, Google Drive for template management, and JavaScript scripts for data processing and conditional logic.
Result: documents generated in minutes instead of hours, elimination of outdated versions, greater autonomy by department, and reduced operational overhead across the team.
Combined impact
What makes this case special is not just each solution in isolation, but the vision with which the client approached the process. Instead of waiting for the "perfect project," they chose to advance iteratively, prioritizing the processes that cost them the most time and money.
